Creating Your First Campaign

Walk through the 7-step new-campaign wizard, what each step asks for, and how your inputs shape the pipeline output.

Before you start

Make sure you have:

  • A connected, warmed mailbox (visit Settings → Mailboxes)
  • A configured ICP — at minimum, a target persona and one industry — in your workspace
  • A clear goal (book meetings, generate replies, drive trial signups, etc.)

If any of those are missing, the wizard will surface a banner and link you to the right setup screen.

The 7 wizard steps

1. Goal

Pick what success looks like. Defrost supports five goal types plus Custom:

  • Meetings — booked calls
  • Pipeline — qualified replies that become opportunities
  • Signups — self-serve product signups
  • Trials — trial starts
  • Replies — raw reply volume (good for research outreach)

The goal you pick changes the recommended call-to-action style and the on-pace math the dashboard shows.

2. ICP

Confirm the ICP that ships with the campaign. You can edit any field inline — these edits become campaign overrides and do not change your workspace ICP. The pipeline uses a frozen snapshot of the merged ICP at launch.

3. Sender

Choose which mailbox sends. If you have multiple mailboxes, Defrost rotates sends across them under daily safety caps. A single mailbox is fine for small campaigns.

4. Sequence

Pick a framework and number of touches. We default to a 3-touch PAS sequence; you can pick from 7 frameworks. Touches space themselves 3-5 business days apart by default.

5. Audience size

Set how many leads to source. We recommend starting with 50-100 for your first campaign so you can review quality before scaling.

6. Schedule

Pick send window (default: 9am-4pm in recipient timezone) and per-day cap (default: 50/day per warm mailbox).

7. Review

You see the full campaign config plus the review-gate setting. Set to Manual for your first campaign — this pauses the pipeline before lead discovery, copy generation, and send so you can sanity-check each step.

What happens after you click Launch

The 8-step pipeline starts in the background. The campaign detail page shows live progress with status badges and an activity feed. If you set review gates to Manual, the campaign will pause at each gate and wait for your approval.
